The tabs, in the order you see them
Eight tabs run across the cover. Each one holds one kind of work.
This week. Your front door. Your next meet, a Needs you list of things waiting on you, the next seven days, and your last announcement. On a meet day this tab becomes Meet day and holds the day’s check-in.
Meets. Every meet open to your school. Choose Register, Ask the team or Pass on this meet. Once you register, the meet has its own tabs: Overview, Entries (your registration sheet), Travel, Tournament invite and Requests.
The team. Four groups: Roster, Coaches & helpers, Judges and Families. Add and edit students, hand out invite codes, list the judges your school brings, and see who follows each student.
Coaching. Notes and feedback for each student. This is where you release judges’ feedback (Release team feedback), see the practice takes students send you (Sent to you), and keep practice materials.
Piece library. The pieces your team performs. Add a piece, see who performs it, and check Readiness before a meet. Every piece needs a citation.
Schedule. Practices, coaching hours students can book, meetings and deadlines. Use + Add event. Meets you register for show up here on their own.
Announce. Write a note and press Post to the team. It appears on your team page for your students to read.
Admin. Office work, in a side list: Needs you (only while something is waiting), Forms, Money, State & records, Look & feel, and Team page & access.
Registering for a meet
Open Meets and find the meet
Press Register. If you want to hear from students first, press Ask the team instead.
Choose how students join
On the meet’s Overview, pick one: I enter everyone, Students raise their hands, or Students enter themselves. Each option says what students can do and when anything is billed.
Fill in the registration sheet
Open Entries. Type a student’s name under an event, or drag a student from the side list onto the event.
Add your judges
In the judges box, pick a saved judge or add a new one with name, email and phone, then press Add and send.
Talk to the director on the sheet
Notes with the director is a thread on the sheet itself. Send a form sends the director a file, like a W-9.
After entries close
Taking someone off becomes a request the director answers. Fees, deadlines and judge numbers are set by each meet’s director; check the meet’s page.
Adding assistant coaches and student helpers
Open The team, then Coaches & helpers.
Add an assistant coach. Enter their name and email. Tick what they can do, then send. They get those jobs from their first sign-in.
Add a student helper. Pick a student from your roster and tick their jobs. A student who has not signed in yet waits under Waiting to sign in.
Captains. Ticking Captain on the roster makes that student a student helper too. Your team can call captains by its own word, like “Base Team”.
Who decides what. The head coach ticks each person’s jobs, one box per kind of work. Money starts off for everyone. Making or removing coaches stays with head coaches.
Where helpers work. A student helper works from the team page, which gains the tabs for the jobs you ticked.
Judge feedback
When can my students read their judges’ feedback?
Once the meet’s results are released and you release it. Open Coaching, then Release team feedback, and release a whole meet at once. Anything you held back stays hidden.
Can I look at one student first?
Yes. Pick the student in Coaching to read every sheet, released or not, and release or hold back one at a time.
