Hosting your first tournament

A suggested rhythm from a few months out to the Monday after, with the place on the site where each step happens. Your own calendar and your league decide the real dates.

For directors

Where things live

Your tournament has six doors down the left side. Each step below names the door and the page behind it.

  • Home. The dashboard, Status & Phases, Activity and the Media kit.

  • People. Entries, Judges, the Arrival desk, From coaches and Tab room staff.

  • Rounds. Schematics, Tabulation, Breaks and Awards.

  • Lists. Registration sheets, Roster, Contacts, School matrix and Judge coverage.

  • Print. The Morning packet, judge QR folders, Schematics, Paper backup and School envelopes.

  • Setup. The Setup Desk, the Homepage Builder, Paperwork and Materials.

The weeks before

A rhythm that works for many hosts. Move any step earlier or later to suit your season.

  1. About 12 weeks out

Create the tournament and choose how to run it

Pick Manual (the default) or Wizard. Manual means you set things up and build the rooms yourself. The wizard is experimental: it builds rooms and seats judges on its own until the day, then suggests changes for you to approve. A Manual tournament cannot switch to the wizard later.

  2. About 10 weeks out

    Work through the Setup Desk

Setup → Setup. The left rail is your checklist: The Tournament (dates, venue, fees, judges each school owes), Events, Schools & Divisions, Rooms and Schedule. Each stage ticks off as you finish it.

  3. About 8 weeks out

    Build your public page

Setup → Homepage Builder. You edit the real page families will read, then publish when it is ready. Fees and judge rules come from the Setup Desk, so you only type them once.

  4. When the page is ready

    Open registration

Home → Status & Phases. Opening registration puts your meet on the public calendar and lets coaches enter students. You press and hold to confirm. This is one of only two big moves you make by hand.

  5. While registration is open

Watch entries and judges come in

People → Entries and People → Judges. Lists → Registration sheets shows each school’s entries, judges and fees, with notes from coaches. Add tab room staff under People → Tab room staff.

  6. Registration closes

Let it close, then build the rooms

By default registration closes itself at the deadline shown when you open it; you can change the deadline in the Setup Desk under The Tournament. After that, coaches ask you to withdraw someone instead of deleting them. Build rooms and seat judges in Rounds → Schematics, and check Lists → Judge coverage for empty rooms.

  7. When the rooms look right

    Post the schematic

On your dashboard, press Post the schematic. Nothing is public until you do. If you change a room afterward, the same spot offers Post the update to the schematic.

  8. The day before

    Print and set up

Print → Morning packet prints everything in one job: tick the parts you want and press Print. Judge QR folders are made for you; you do not need to press anything to create them.

The day, and after

  1. Morning

Go live and open the Arrival desk

By default the meet goes live on its own at the start time; you can also go live by hand from Status & Phases. People → Arrival desk is your roll call for schools and judges, with a QR judges scan to check themselves in.

  2. During rounds

Run the day from the dashboard

Each event is a row. Post rounds, open scoring, and see which rooms still owe a ballot. Anything that needs you collects under Needs you, worst first.

  3. Before each break

Lock the rounds, then review the cut

A round with every ballot in is offered for locking. Nothing breaks until the rounds before it are locked. Rounds → Breaks shows each event’s cut, and you approve the rooms before they are posted.

  4. After the last round

Decide any ties and present the awards

When every ballot is in, the meet moves to Concluded and you are ready for awards. Any tie still undecided shows first. Then Present the awards opens the slideshow.

  5. When awards are done

    Release the results

Home → Status & Phases → Release the results, the second press-and-hold. Results go public, judge feedback goes home to coaches, and team points lock in. If you do nothing, the meet releases itself at 9 PM unless you pause it.

  6. The Monday after

    Close the loop

Your dashboard shows a short list: the results link, money still owed, feedback still owed and thanking your judges. If you find a mistake you can reopen; the change is logged.

Questions first-time hosts ask

Who can help me run it?

Add people under People → Tab room staff. You choose what each person can reach. Only you, or a co-director, can open registration or release results.

Do I need to post every round myself?

Before the day, posting is one button: Post the schematic. On the day, each event row on the dashboard has its own Post.

Where is the full detail?

The director’s handbook walks every page in order.
