The day before your tournament

For a tournament director the day before the meet: what to check on the site, what to print, and what to set up in the building.

The day before your tournament

On the site

  • Rounds → Schematics: every event has its rooms built and its judges seated.
  • Lists → Judge coverage: no room is left without a judge.
  • Dashboard: the schematic is posted. If it is not, press Post the schematic.
  • Dashboard: if you changed rooms after posting, press Post the update to the schematic.
  • Dashboard: nothing is waiting under Needs you, such as a withdrawal request.
  • Lists → Registration sheets: coach notes are read and answered.
  • Setup → Materials: topics are loaded for any limited preparation events.
  • Home → Status & Phases: check when the meet goes live and when results release.
  • People → Tab room staff: everyone helping tomorrow has accepted their invitation.

Print

  • Print → Morning packet: tick the parts you want (schematics, judge sheets with QR folders, registration and fee sheets, door signs, day schedule, code decoder) and press Print.
  • Print → Printable judge QRs, if you want a folder per judge seat.
  • People → Arrival desk: Print the QR that judges scan to check themselves in.
  • Print → Paper backup: keep one copy in the tab room in case the wifi goes down.
  • Lists → Contacts: a printed copy of coach phone numbers.
  • Extra blank paper and pens for judges.

In the building

  • Walk every room on the schematic. Each one is unlocked, or someone has the key.
  • Tape a door sign on each room.
  • Set up the tab room: power strips, a printer with paper, and a working wifi connection.
  • Set up the judges’ lounge: tables, seating, and a place to pick up folders.
  • Post the arrival desk QR where judges walk in.
  • Mark where schools and families wait between rounds.
  • Check where the awards will be held, and that the projector works if you are showing the slideshow.
